1. Who we are
This website (cellindex.bio and cellindexgroup.org) is operated by Cellindex ("we", "us", "our"), a company in the process of incorporation under the laws of England and Wales. For the purposes of UK data protection law, Cellindex is the data controller in respect of personal data collected through this website. The Cellindex ELN application at cellindex.app is governed by a separate privacy policy and separate terms of service. Our contact address for data protection matters is: hello@cellindex.bio.
2. Legal basis for processing
We process personal data only where we have a valid legal basis to do so under the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018. The legal bases we rely on are: (a) Consent — for analytics cookies, which we set only after you actively accept via the cookie banner; (b) Legitimate interests — for processing contact form submissions to respond to your enquiry, where our interest in responding is not overridden by your rights; and (c) Compliance with a legal obligation — where we are required to retain or disclose data by law.
3. What personal data we collect and why
Contact form: When you submit the contact form, your name, email address, organisation, enquiry type, and message are composed into an email and sent via your own email client directly to our inbox. We do not store this data in any database or third-party form service — it is held only in our email inbox and used solely to respond to your enquiry. We retain these emails for up to 3 years in case of follow-up correspondence, then delete them.
Analytics data (consent only): If you accept analytics cookies, we use Google Analytics 4 to collect anonymised information about how visitors use this site, including pages visited, time on page, and approximate geographic region (country level). IP addresses are anonymised before any processing. We do not enable advertising features, cross-site tracking, or User ID features. This data is processed under a data processing agreement with Google LLC and stored on Google's servers. You may withdraw consent at any time; see Section 5 below.
4. Cookies and similar technologies
We use one item of localStorage (cellindex_analytics_consent) to record your cookie preference. This is strictly necessary for the functioning of our consent mechanism and does not require your consent. No analytics cookies are set until you explicitly accept. If you accept, Google Analytics sets the following cookies: _ga (expires after 2 years, used to distinguish users) and _gid (expires after 24 hours, used to distinguish users). You can review and manage all cookies by visiting your browser's settings or our Cookie Policy.
5. International transfers
Google Analytics data is processed by Google LLC, which is based in the United States. Google relies on the EU–US Data Privacy Framework and Standard Contractual Clauses for transfers of personal data from the UK to the US. By accepting analytics cookies you acknowledge that your data will be transferred to and processed in the United States in accordance with these safeguards.
6. Your rights under UK GDPR
You have the following rights in relation to personal data we hold about you: Right of access — to request a copy of the data we hold; Right to rectification — to ask us to correct inaccurate data; Right to erasure — to ask us to delete your data where there is no compelling reason for us to keep it; Right to restrict processing — to ask us to limit how we use your data; Right to data portability — to receive your data in a machine-readable format; Right to object — to object to processing based on legitimate interests; Right to withdraw consent — where we rely on consent, you may withdraw it at any time without affecting the lawfulness of prior processing. To exercise any of these rights, contact us at hello@cellindex.bio. We will respond within one calendar month. You also have the right to lodge a complaint with the Information Commissioner's Office (ICO) at ico.org.uk.
7. Retention
Contact form emails are retained for up to 3 years and then deleted. Analytics data is retained by Google Analytics for 14 months, after which it is automatically deleted. We will review and update these retention periods as our data processing activities develop.
8. Third-party links
This website contains links to external sites, including cellindex.app. We are not responsible for the privacy practices of those sites and encourage you to read their privacy policies.
9. Changes to this policy
We may update this policy from time to time. Material changes will be reflected in the updated date above and, where appropriate, communicated to users who have previously contacted us. Continued use of this website after changes constitutes acceptance of the revised policy.
